Requesting approval, approving, and requesting changes for posts (approval workflow)

By using the approval workflow, you can ensure that posts require approval before publication, preventing erroneous posts and oversights, and enabling secure posting.

What you can do with the approval workflow

The approval workflow allows Social profile administrators to review posts created by Post editors before publishing them.

  • Post editors can input post content and publication date/time, then request approval.
  • Social profile administrators can review requested posts and either approve or request changes.
  • Only posts created by Social profile administrators or approved by them will be published.
  • Team members who cannot post directly to social media can also securely post using approval requests.

For each Social profile, you can set members who can request approval (Post editors) and members who can approve (Social profile administrators).

Flow until a post is published

When using the approval workflow, posts are published according to the following flow:

  1. Post editors request approval
    1. Create the post content.
    2. Specify the publication date/time.
    3. Request approval.
    4. The post's status becomes [Awaiting approval].
  2. Social profile administrators approve or request changes
    1. If there are no issues with the post content, approve the post.
      1. The post's status becomes [Approved].
      2. The post will appear in the post list.
      3. The post will be published at the specified publication date/time.
    2. If there are issues with the post content, request changes to the post.
      1. The post's status becomes [Changes requested].
      2. Post editors can revise the post from the Changes requested screen and request approval again.

Preparation

To use the approval workflow, set up Social profile roles.

For each Social profile, at least one member is required for each of the following roles:

  • Social profile administrator
  • Post editor

Social profile administrators can post to social media without approval.

Request approval

Post editors can request approval for posts they have created.

  1. Open [Post] → [Scheduled posts] or [Drafts].
  2. Click [New post].
  3. On the Create a post screen, enter the post content and publication date/time.
  4. Click [] at the bottom right of the screen.
  5. Select and click [Request approval].

Posts awaiting approval can be checked on the Awaiting approval screen.

tip

Social profile administrators cannot request approval for posts.

Approve a post

Social profile administrators can approve posts that are awaiting approval.

  1. Click [Post] → [Awaiting approval].
  2. In the post list, click [Approve] at the bottom right of the post you want to approve.

Approved posts can be checked on the Scheduled posts screen.

tip

Once a post has been approved, it cannot be reverted to Awaiting approval. Please Delete the post or move it to Drafts, then request approval again.

Request changes to a post

Social profile administrators can request changes to posts that are awaiting approval.

  1. Click [Post] → [Awaiting approval].
  2. In the post list, click [Request changes] at the bottom right of the post you want to request changes for.

Posts with requested changes can be checked on the Changes requested screen.

tip

Posts that are not approved by the scheduled publication date/time will automatically be requested for changes.

Edit a post that is awaiting approval

Social profile administrators can Edit posts that are awaiting approval before approving or requesting changes to them.

  1. Click [Post] → [Awaiting approval].
  2. In the post list, click the [pencil icon] at the bottom right of the post you want to Edit.
  3. Edit the post content.
tip

Post editors cannot Edit posts that are awaiting approval. If you wish to Edit the post content, please withdraw the approval request.

Withdraw an approval request

If a Post editor wishes to Change the post content after requesting approval, they can withdraw the approval request.

  1. Click [Post] → [Awaiting approval].
  2. In the post list, click [Withdraw] at the bottom right of the post you want to withdraw.

Withdrawn posts can be checked on the Drafts screen.

Request approval again for a post with requested changes

Post editors can revise posts that have been requested for changes and request approval again.

  1. Click [Post] → [Changes requested].
  2. In the post list, click the [pencil icon] at the bottom right of the post for which you want to request approval again.
  3. Revise the post content.
  4. Switch the button at the bottom right of the screen to [Request approval].
  5. Click [Request approval].
tip

Email notifications and comment features are scheduled for release in Summer 2026 or later.

Email notifications

In the approval workflow, emails are sent when the following operations occur:
